Photos and documents
The rules that apply to every photo and file you add in Solmex, whichever record you add it to: file types, size limits, compression, and who can see and remove them.
You can attach photos and files to many records in Solmex: a machine, an inspection, a finding, a work order, a breakdown, a work request, a work permit, an employee, a purchase request. Each module has its own place to add them, but the rules are the same everywhere. This article collects those rules in one place.
What you can upload
| Kind | File types |
|---|---|
| Photos | JPG, PNG, WebP and HEIC (iPhone photos). |
| Documents | PDF, Word (doc, docx), Excel (xls, xlsx), PowerPoint (ppt, pptx), CSV and plain text, as well as the photo types above. |
Where Solmex asks for a photo specifically, such as a machine's gallery or an inspection's condition shots, only photo types are accepted.
GIF files are refused. Save the picture as PNG or JPG and upload that instead.
Size limits
Every upload is checked against two limits, set for the whole company under Settings > Company Settings > File Upload Limits:
| Limit | Default | Applies to |
|---|---|---|
| Image limit | 10 MB | Photos. |
| PDF / Document limit | 25 MB | PDFs and every other file that is not a photo. |
An administrator with Settings: Edit can raise or lower them. The limit applies to the file as you send it, before Solmex makes it smaller.
What happens to a photo you upload
Solmex never stores a large photo exactly as your phone took it. When it arrives, it is:
- Resized to a size that still shows every detail on screen and on paper, including printed text in a photographed document. A 9 MB phone photo is typically stored at well under 1 MB.
- Turned the right way up. A photo taken with the phone on its side is stored upright, so it shows correctly everywhere, including in PDFs.
- Converted from HEIC to JPEG. iPhone photos arrive as HEIC, which most computers cannot display. They are stored as JPEG so everyone can open them.
- Stripped of hidden extras, keeping only what is useful as evidence: where the photo was taken (when the phone recorded it), when it was taken, and the make and model of the camera.
Logos and signatures keep their transparent background. Profile pictures are stored smaller still.
Who can see and remove a photo or file
A photo or file belongs to the record it was added to.
- Seeing it needs permission to view that record. A photo on a work order is visible to people who can open work orders.
- Removing it needs permission to edit that record, for example Equipment: Edit for a machine's documents.
- Photos of a machine are gathered in one gallery. Every photo filed about a machine, on an inspection, finding, work order, the work done or a breakdown, also appears in the machine's Photos card for anyone who can view equipment. See Photos of a machine.
- A signed or closed record stops taking new files. For example, photos cannot be added to a completed inspection. This keeps what was signed for the same as what is on file.

Where to add them
| Record | Article |
|---|---|
| A machine's photos | Photos of a machine |
| A machine's documents (insurance, registration, manuals) | Machine documents |
| An employee's documents and certificates | Employee documents and certifications |
| A work permit's risk assessment and attachments | Permit documents and printing |
| An inspection | Carry out an inspection |
Troubleshooting
| What you see | What to do |
|---|---|
| "Image too large" or "Image file too large", with the size and the limit | The photo is bigger than your company's Image limit. Take it at a lower resolution, or ask an administrator to raise the limit. |
| "PDF file too large" or "File too large" | The file is bigger than the PDF / Document limit. Compress or split it, or ask an administrator to raise the limit. |
| "Only image files are allowed for photos (JPG, PNG, WebP, HEIC)" | You chose a document or a GIF where a photo was asked for. Choose a photo file. |
| "Unsupported file type. Allowed: images, PDF, and Office documents (doc/docx/xls/xlsx/ppt/pptx/csv/txt)." | Save the file in one of those formats and try again. |
