How Solmex is organised
Your company holds Locations, a Location holds Sublocations, equipment sits in them, and every record (work orders, readings, fuel, costs) hangs off a machine.
Everything in Solmex fits into one simple structure. Understanding it first makes every other screen easier to read.
Your company
└── Location a site, project or facility e.g. "North Quarry"
└── Sublocation an area inside it e.g. "Workshop Bay 2"
└── Equipment one record per machine e.g. "EX-014"
└── Records work orders, breakdowns, inspections, meter readings,
fuel, parts used, costs, documents, photos

Your company
Your company is your own private workspace in Solmex, reached at its own web address, such as yourcompany.getsolmex.com. Nobody outside your company can see its data. Company-wide details, such as your name, logo and currency, are set in Set up your company.
Locations
A Location is a place where work happens: a site, a project, a plant, a hotel, a depot. A small business may have one. A contractor may have one per project.
Each Location has a code (such as NQ-01) and a name. Users can be limited to the Locations they work at, so a site supervisor only sees their own site.
Sublocations
A Sublocation is an area inside a Location: a workshop bay, a yard, a floor, a pump house, a stretch of road. Each Sublocation belongs to exactly one Location.
A machine's Sublocation is where it was last seen. It moves when somebody records where they found the machine, for example during an inspection or a fuel fill.
Equipment
Each machine, vehicle or piece of equipment has one record, identified by its Equipment No. It belongs to one Location and, optionally, one Sublocation.
The equipment record describes the machine (type, brand, model, serial numbers), how it is owned (owned, rented or subcontractor), how it is measured (hourmeter, odometer, or no meter fitted) and its current status.
Records
Everything else in Solmex is a record about a machine: a work order, a breakdown, an inspection, a meter reading, a fuel fill, a part fitted, a cost. Because they all point at the same equipment record, you can open any machine and see its full history in one place, across every module.
People
People sign in as users. Each user has a role that decides what they can see and do, and a seat:
- A full seat can use everything their role allows.
- A work requester seat is for people who report problems, record readings and update work in the field. Work requesters are free on every plan.
