Managing Assets
The asset record, meters, where a machine has been, Live Map, fuel and tools.
The Asset Register
- Find machines on the Equipment RegisterNarrow the Equipment Register to the machines you want with the status strip, filter pills, search and sorting.
- Table view, panel view and columnsRead the Equipment Register as a table or with the selected machine open beside the list, and choose, order and resize the table's columns.
- Export the register to ExcelDownload the Equipment Register as a printable Excel file, choosing which columns go in and in what order.
- Your equipment listsManage the types, groups, categories and departments your machines are recorded in. Rename an entry on every machine at once, or remove it from the pickers without touching any record.
The Asset Record
- The equipment pageEach machine has one page holding its identity, ownership, deployment, meters and every record made about it, organised in tabs. Most fields are edited in place on the Overview tab.
- Equipment statusesWhat each equipment status means, how to change a machine's status, and the two statuses Solmex sets for you.
- Dispose of a machine and reinstate itRecord that a machine has been sold, scrapped, written off, lost or returned. It leaves the register but keeps its whole history, and can be reinstated if it was a mistake.
- Delete a machine registered by mistakePermanently remove a machine that should never have been registered, such as a duplicate or a mistyped number. Only possible while the machine has no records.
- Photos of a machineSee every photo taken of a machine in one gallery, add your own, and choose the photo that stands for the machine across Solmex.
- Documents on a machineKeep a machine's insurance and inspection certificates, manuals and other papers on its record, see which are about to expire, and download them when someone asks.
- Mount one machine on anotherRecord that a bucket, breaker or other attachment is fitted to a host machine, detach it when it comes off, and see where it has been.
- Print a QR label for a machinePrint a sticker with the machine's number, a QR code and a barcode, in the size your printer takes, and see who has printed labels.
- The public equipment cardWhat a person sees when they scan a machine's QR label, what is never shown to them, and how they can report a problem from it.
- Export a machine's dossierProduce a printable PDF record of one machine, as a three-page summary or a full dossier with its whole history, for an owner, an auditor, an insurer or a buyer.
- A machine's Costs tabSee what one machine has cost over its life, this year and this month, broken down by category, with its most recent cost entries.
Meters
- How meters workWhat an hourmeter, an odometer and a machine with no meter mean in Solmex, which reading counts as current, and where readings come from.
- Add a meter readingRecord one hourmeter or odometer reading for one machine from its Meter Readings tab.
- Read many machines with Daily Meter EntryType a whole meter round into one grid and save every reading at once.
- Correct a meter readingFix a mistyped figure on the latest reading of a meter, with a reason that is kept in the audit log.
- Undo a Daily Meter Entry saveTake back your last Daily Meter Entry save within 15 minutes, for example after typing a round under the wrong date.
- Tracking metersRecord up to eight process or condition values on a machine, such as pressure, pH or tank level, beside its hourmeter and odometer.
Where Machines Are
- A machine's location historyHow Solmex knows which Sublocation a machine is in, where those records come from, and how to read the Location history card.
- Log where a machine isRecord by hand which Sublocation a machine was in and when, including a move made days ago.
- Transfer a machine to another LocationMove a machine from one Location to another from a chosen date, keeping all of its history.
- What Live Map showsLive Map draws each machine on a site plan of its Location, in the Sublocation the records last placed it, and says plainly what it does not know.
- Create a site planUpload a drawing of a Location, or import a KMZ or KML file from your surveyor or Google Earth, so Live Map has something to draw machines on.
- Draw Sublocations on a planMark where each Sublocation sits on a site plan, as a point or an outlined area, and give points a radius so GPS positions can land in them.
- Read the mapUse icons, filters, colours and the exact spot on Live Map to see at a glance which equipment is where, and to record a machine's spot by hand.
- Map layers and replayShow open breakdowns, overdue maintenance and fuel by Sublocation on Live Map, and replay where machines were at a moment in the last 90 days.
- Follow a machine's day trackDraw the route a GPS-tracked machine took on one day, with its distance, stops, gaps in the signal and a playback of the day.
- Connect GPS trackersIssue a GPS feed key so your trackers can send positions to Solmex, then bind each reporting device to the machine it is fitted to.
- Connect WialonLet Solmex fetch your machines' positions from Wialon Hosting every minute, then bind each Wialon unit to its machine, with suggestions from the unit names.
Fuel
- How fuel works in SolmexThe ideas behind the Fuel module: fill-ups, the meter reading taken at the pump, stations and attendants, and where the cost comes from.
- Log a fill-up on a machineRecord one fill-up from a machine's Fuel tab, with its meter reading, station, attendant, Sublocation and cost.
- Daily Fuel EntryLog the day's fill-ups for many machines on one screen and save them together, with a station, attendant and time that apply to every row.
- Fuel stations and attendantsKeep the lists of places fuel comes from and people who dispense it, which every fuel entry screen offers as dropdowns.
- Fuel SettingsDecide how far back fuel entries may be dated, when a late entry needs a reason, and what happens to a fill larger than the tank.
- Late entries and meter checksHow Solmex handles a fill-up recorded after the day it happened, and how its meter reading is checked against the readings before and after it.
- Edit, void or undo a fill-upTake back a save you just made, correct a saved fill-up, or void one that should never have been recorded.
- Import a fuel logBring months of fill-ups in from an Excel sheet, checked as a whole against each machine's meter history before anything is recorded.
- Fuel ManagementRead where your fuel is going, what it costs, which machines burn the most, and which entries deserve a second look, then export it as a report.
- Fuel consumption figuresHow Solmex works out litres per hour and litres per 100 km, why each machine is compared with its own history, and when a fill-up is flagged.
Tools
- The tools registerAdd hand and power tools to the Tools register, sort them into categories, and find what is available, out, in repair or due for calibration.
- Assign and return toolsRecord who has a tool and when it is due back, then record its return, so the Tools register always says who holds what.
- Tool status, calibration and retiringChange a tool's status, record moves and calibration, attach certificates, and retire a tool you no longer use without losing its history.
